About Flowtica
Flowtica is an AI systems studio
Flowtica was created to close the gap between impressive AI demos and dependable systems that support day-to-day operations. We approach AI as part of your infrastructure: observable, maintainable, and integrated, rather than a stand-alone tool disconnected from your processes.
We work with teams that already experience the cost of manual workflows, scattered knowledge, and constant context switching. Together, we define achievable projects that deliver clear value and build on that foundation over time.
For teams specifically exploring how Flowtica can act as an AI consultant in Canada, this example consulting engagement shows how a typical project is structured without exposing client-specific details.

What we do best
- AI phone and chat assistants that hand off cleanly to people when required
- Document Q&A / RAG systems for contracts, policies, and runbooks, with transparent citations

- Architectures on AWS or Kubernetes that respect privacy and compliance constraints
- Monitoring and feedback loops so systems improve over time rather than quietly degrading
How we work
Phase 1
Discovery & workflow mapping
We begin by understanding how your team operates today, systems, constraints, and the edge cases that commonly break automation, so we can design a realistic solution.
Phase 2
Prototype in weeks, not months
We implement a focused AI assistant or workflow that plugs into your existing stack. Every prototype is tied to clear success metrics.
Phase 3
Harden & scale
Once value is demonstrated, we invest in monitoring, guardrails, fallbacks, and performance tuning so the solution behaves like dependable infrastructure.
Principles
Principle 1
Your data, your control
Data ownership remains with you. Wherever possible, we design deployments in your infrastructure or in controlled environments you administer.
Principle 2
Integrate with existing systems
We align with the tools you already rely on, CRMs, ticketing systems, data stores, rather than introducing unnecessary platforms.
Principle 3
Targeted projects, tangible results
We favour focused, high-impact initiatives instead of broad programmes that are difficult to deliver and maintain.
Services
AI Phone & Chat Assistants
Custom voice and chat agents that answer questions, qualify leads, and route conversations to the right people. Designed for service businesses, clinics, and teams that want to reduce missed calls and repetitive work.
Document Q&A for Legal & Operations
Structured search and question answering across contracts, policies, and internal documentation, with cited responses. Ideal for legal teams, HR, compliance, and operations.
Workflow Automation & Integration
End-to-end automation that connects AI to your CRM, helpdesk, scheduling tools, and internal systems. We design workflows with humans in the loop where judgement is needed.
Private & Hybrid Cloud Deployments
Architectures where you control hosting and data across AWS, Kubernetes, or your own infrastructure. Suitable for teams with stronger privacy, security, or compliance requirements.
Prototyping & Feasibility
Short, focused engagements to validate a use case before you commit to a larger implementation. We aim for usable prototypes in weeks, not months.
Ongoing Support & Iteration
Monitoring and refinement of your AI workflows as your data and processes evolve, ensuring systems remain accurate and aligned with operations.
Case Studies & Demos
Examples of AI workflows in practice
Flowtica works best when AI is embedded in your operations stack, not bolted on as a stand-alone chatbot. The examples below show representative patterns we build for document- and process-heavy teams, without exposing sensitive implementation details. Each example links to a dedicated page with a diagram and a practical walkthrough of the workflow architecture behind it.
Private operations assistant for multi-building portfolios
A private AI assistant for property management and condo/strata teams that answers questions about buildings, residents, and procedures from one place. Responses are grounded in your leases, manuals, bylaws, and internal documentation, with citations, so staff can verify the source quickly. The workflow connects to your existing systems so answers stay aligned with your current data.
- Who it helps: multi-building operators where knowledge is spread across leases, SOPs, vendor docs, shared drives, and ticketing tools.
- What changes: coordinators and managers get consistent, policy-aligned answers in seconds, plus links to the source documents and an audit-friendly record of what was referenced.
- Typical outcomes: fewer escalations, faster response times for tenants and owners, and clearer documentation for decisions across the portfolio.
AI reception & intake for clinics and trades
An AI reception workflow that answers common questions, captures structured intake details, and routes requests so fewer calls and messages are lost when staff are busy. It can support phone, web chat, or both, and hands off cleanly to your team when a human response is needed.
- Who it helps: clinics, trades, appointment-based services, and multi-location operators juggling phones, email, and chat.
- What changes: every inquiry becomes a clear, structured request (who, what, where, urgency, preferred time) instead of a vague voicemail or partial message.
- Typical outcomes: higher lead capture, faster follow-ups, and a simpler way to prioritize callbacks across locations and channels.
Policy & HR knowledge copilot
An internal assistant that helps employees self-serve answers to policy and HR questions while keeping responses aligned with approved documentation. Answers are grounded in your current handbooks and policies, with citations so people can verify the exact source quickly.
- Who it helps: organisations with handbooks, policy docs, and internal FAQs spread across shared drives and wikis.
- What changes: employees get accurate, up-to-date answers based on official sources rather than stale chat history or email threads.
- Typical outcomes: fewer repetitive questions, faster onboarding, and more HR/ops time spent on higher-leverage work.
Across all three examples, the principle is the same: a private workflow layer connects to your systems, keeps documents and data current, and lets an AI model reason over that context with access control, guardrails, and logging. Tools can change; data ownership and architecture stay in your favour.
AI Workflow Program
Flowtica offers AI workflow programs for teams that want one high-impact process automated and maintained in production. The goal is simple: ship quickly, measure impact, then continuously improve what’s live.
We work best with partners who can move quickly and provide feedback. For hands-on delivery, we work with a small number of partners at a time.
6-Month AI Workflow Program
Most teams start here. End-to-end ownership of one critical workflow: design, build, launch, reliability, and ongoing optimisation.
Minimum $6,000 CAD / month 6-month minimum • dedicated delivery
One production workflow live in weeks, then improved month over month. Built for reliability , not a demo.
- Design + integrate , map the process and connect to your existing tools (ticketing, CRM, email/phone, internal systems), including real edge cases.
- Launch in weeks , ship a first production version early, then iterate based on real usage.
- Operate + improve , monitoring, logging, retries, alerting, plus regular reviews tied to agreed metrics (hours saved, cycle time, SLA, error rate).
How we keep delivery predictable: focus on one workflow at a time • clear system boundaries • changes handled through a defined next step.
Best suited for teams with one obvious, painful process that must simply work in day-to-day operations.
Apply for the 6-Month ProgramCustom Scope (By request)
If your needs are unusual, we can design a tailored engagement. This is typically used when the workflow touches multiple teams, requires procurement/security reviews, or needs a different contract structure.
Custom pricing scoped after a short call
- Focused pilots to validate feasibility before a larger rollout.
- Multi-workflow roadmaps, sequenced to avoid unnecessary complexity.
- Security or compliance reviews aligned with your internal process.
- Clear scope, timeline, and success criteria agreed up front.
Share your workflow, tools, and constraints , we’ll recommend the smallest sensible engagement that can prove value and keep future options open.

About Flowtica
Flowtica helps traditional businesses (distributors, property managers, staffing agencies, etc.) automate messy, manual workflows using automation platforms, APIs, and AI/LLMs.
We are early-stage and hands-on. You will work closely with the founder and see the full customer journey — from first call to a workflow running in production.
What You’ll Do
Customer ownership
- Run customer discovery calls to understand workflows, constraints, and success metrics
- Capture requirements and turn conversations into clear notes, scope, and acceptance criteria
- Lead internal scoping with the founder to align on technical approach and delivery plan
